How you will shape Prophero:

Own HubSpot end-to-end - user administration, permissions, teams, and seat management; creation, updates, and cleanup of properties, pipelines, and objects (standard and custom); sandbox maintenance; and continuous research into new HubSpot features and updates.

  • Serve as the primary owner of the channels, triaging and resolving L1 requests with speed and precision, and escalating L2 issues appropriately.
  • Ensure data integrity, consistency, and quality across HubSpot at all times - including proactive detection and resolution of duplicate records, field misuse, and pipeline hygiene issues.
  • Build, maintain, and improve dashboards and reports for commercial, finance, and operations teams, translating CRM data into clear, actionable insights.
  • Own and maintain key native integrations (DocuSign, Calendly, Stripe, and others), ensuring they run reliably and are properly documented.
  • Design, maintain, and optimize workflows, forms, meeting links, and automation sequences - including contract automation, onboarding/offboarding flows, referral programs, and the AI bot.
  • Hold weekly syncs with SDRs, Closers, International, and PCs teams to understand their needs, troubleshoot issues, and proactively identify improvements.
  • Document everything - every process, flow, change, and solution, maintained rigorously in ClickUp and Slack. This is non-negotiable.
  • Monitor HubSpot usage limits and budget, flagging risks early and recommending optimizations.
  • Train and support internal users on HubSpot best practices, driving adoption and correct platform usage across the company.
  • Maintain data quality standards in AirTable within the scope of this role.

What you will bring to our team:

  • Experience: 3+ years of hands-on HubSpot administration experience - you know the platform inside and out, including its quirks, limitations, and workarounds.
  • A technical background, ideally with programming or scripting experience; you're comfortable getting into the logic of automations, integrations, and data structures rather than just clicking through menus.
  • HubSpot certifications are a strong plus (HubSpot CRM, Operations Hub, or similar).
  • Proven experience managing integrations between HubSpot and third-party tools (DocuSign, Stripe, Calendly, or equivalent).
  • Advanced English, as all our teams are distributed globally and we use English for all internal communications.
