The Position

External Collaborations Coordination Partner

The Opportunity

The GSD Coordinator is responsible for the operational management of Grants, Sponsorships and Donations requests initiated by Roche R&D Network as well as Roche Global Congress Teams. This role acts as a gatekeeper and facilitator, ensuring that all financial and non-financial contributions to Healthcare Organizations (HCOs) and Patient Groups (PGs) comply with Roche's binding compliance principles, local laws and internal financial reporting standards.Uphold compliance with international regulations, such as EFPIA standards for sponsorships and maintain full transparency in the management of grants and donations.

While the business retains accountability, this role ensures every transaction is ethically vetted, medically justified and 100% audit-ready. You will manage and keep oversight of the process end-to-end, closely partnering with the relevant Roche Networks and supporting in managing the full operational workflow: from intake to documentation gathering, to milestone tracking and final closure and evidence collection.

  • GSD Request Evaluation and Intake
    Analyze and classify requests (e.g., grants, sponsorships), verify mandatory documentation, validate data and budgets, and ensure compliance for GSD approvals.

  • System Management
    Ensure accurate data entry in the GSD system, manage GL accounts, maintain Vendor IDs, and align financial and sustainability reporting requirements.

  • Contracting and Finance
    Transition approved requests into MyBuy for contracts, manage Purchase Orders (POs), coordinate invoice submissions, and oversee payment tracking.

  • Compliance and Advisory
    Provide compliance guidance, support audits, deliver staff training, ensure documentation quality, and maintain data governance across GSD systems.

  • Post-Event Management
    Collect and upload evidence of event completion, confirm invoices are paid, and close out and archive requests per regulatory requirements.

Who You Are

  • Education and Experience: A bachelor's degree (advanced degree preferred) in Business, Life Sciences, Law, or Finance is required, along with a minimum of 5 years of experience in healthcare compliance, grant management, or GSD/Medical Operations, specifically within a highly regulated global pharmaceutical environment.

  • Compliance and Audit Expertise: Must have a strong understanding of pharmaceutical regulations (including EFPIA and the Sunshine Act), proven skills in financial reconciliation, and experience supporting large-scale compliance audits.

  • Key Skills and Discipline: Requires strong stakeholder management, fluency in English, a high degree of precision and integrity, and the discipline to adhere to strict timelines, navigate complex global compliance processes, and maintain rigorous accuracy by identifying discrepancies in vital documents.
