Key Responsibilities

Executive Support

  • Provide comprehensive administrative and confidential support to Directors, managing calendars, meetings, and day-to-day priorities.
  • Act as a key point of contact between Directors and internal/external stakeholders, ensuring effective communication and timely follow-up on actions.
  • Screen, prioritize, and coordinate incoming requests to support efficient decision-making.

Administrative & Logistical Management

  • Manage complex calendars, schedule meetings, and coordinate appointments across multiple stakeholders and time zones.
  • Organize meetings, prepare agendas, compile documentation, and track action items to completion.
  • Coordinate domestic and international travel arrangements, including itineraries, accommodation, and expense management.
  • Support the organization of team events, workshops, and leadership meetings.

Operational Support

  • Maintain accurate records, documentation, and filing systems while ensuring confidentiality and compliance with company policies.
  • Support ad hoc projects and administrative initiatives to improve efficiency and office operations.
  • Monitor deadlines and follow up on key deliverables on behalf of Directors.

What We're Looking For

  • Experience: 3+ years of experience as an Executive Assistant, Personal Assistant, or similar support role for senior leaders.
  • Organization: Exceptional planning, prioritization, and multitasking skills with strong attention to detail.
  • Communication: Excellent verbal and written communication skills, with the ability to interact confidently with stakeholders at all levels.
  • Problem Solving: Proactive approach to identifying issues and implementing solutions.
  • Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and collaboration tools such as Teams.
  • Languages: Fluent English (C1) and Spanish. Additional languages are a plus.
  • Professionalism: High level of discretion and experience handling confidential information.
