KEY RESPONSABILITIES
Payroll leadership (end-to-end, multi-country) :Own the payroll cycle for assigned markets: inputs collection, validations, cut-offs, approvals, payments, and post-payroll checks.Define and maintain payroll calendars, checklists, and approval flows aligned with Retail operations.Ensure correct processing of retail-specific pay elements: overtime, shift premiums, commissions/incentives (if applicable), allowances, absences, retro pay, terminations, bonuses, and statutory items.Drive gross-to-net reviews, payroll reconciliations, and alignment with Finance/Controlling (accruals, journal entries, interfaces)
Labour compliance & employee relations support :Ensure compliance with local labour requirements for retail (working time, breaks, leave, contracts, disciplinary/termination processes, statutory reporting).Partner with Retail HR/Legal on sensitive cases (claims, inspections, audits, escalations) and ensure appropriate documentation and evidence.Maintain standard templates and minimum governance standards across markets while respecting local legal constraints.
Vendor & stakeholder management: Lead payroll vendors and local labour/tax advisors: SLAs, KPIs, incident management, service reviews, and cost control.Coordinate with HR Ops, Retail HR, Finance, Legal, Tax, IT/HRIS to ensure smooth execution and clear accountability (RACI).
Controls, governance & audit readiness :Design and enforce internal controls (pre/post payroll controls, segregation of duties, access reviews, evidence retention).Ensure audit readiness (internal/external) and timely remediation of findings.Ensure data privacy and compliant handling of employee data (GDPR for UK/IE and local requirements for US/MX).
Process excellence & transformationHarmonize processes where possible (SOPs, workflows, standard reporting) and drive continuous improvement to reduce errors and cycle time.Lead/participate in projects such as payroll vendor changes, time & attendance improvements, HRIS-Payroll integrations, and reporting enhancements.
People leadership: Manage, coach and develop the team: goals, workload planning, training, performance feedback, and succession planning.Build a strong team culture focused on accuracy, service, and continuous improvement.
Key Metrics (KPIs):
Payroll on-time delivery, payroll accuracy/error rate, number of off-cycle payments, incident resolution time, compliance/audit findings, SLA attainment, cost per payslip, retail payroll cycle efficiency.
ABOUT YOU
5+ years' experience in Payroll and/or Labour with multi-country exposure;
strong experience in retail workforce payroll is highly valued.
Demonstrated experience managing US payroll (directly or through vendors) plus UK/IE oversight. Proven track record in vendor management, governance, and payroll controls.Experience in Workday ecosystems and working closely with Finance (reconciliations, postings, accruals).
People management experience (team leadership).
High attention to detail, strong ownership, ability to prioritize in fast-paced retail calendars, stakeholder management, analytical mindset, clear communication, confidentiality, and problem-solving orientation.
