We are looking for a proactive and detail-oriented People Programs Assistant to join our People Team at Zoolatech. This is a junior-level role designed for someone who wants to start or further develop their career in HR.
In this position, you will support the operational and administrative delivery of our People initiatives. You will help ensure smooth execution of internal processes, programs, and events by coordinating logistics, maintaining documentation, supporting communications, and keeping trackers and calendars up to date.
You will work closely with experienced People and Recruiting Partners and HR professionals, gaining hands-on exposure to onboarding, employee experience, employer branding, internal communications, and reporting.
This role offers a strong foundation in HR operations and provides opportunities to grow, take on more responsibility over time, and develop within Zoolatech and the broader HR profession.

Provide administrative support across multiple People streams under the guidance of People Programs Leads
Maintain calendars, support communication flows, and follow up on assigned action items
Prepare presentations, create materials, and assist with documentation updates
Maintain the internal communication calendar and update content in the Zoola Portal
Support onboarding logistics by sending invitations and adding newcomers to bootcamp groups
Assist with administrative onboarding processes and ensure trackers are up to date
Post vacancies and updates on LinkedIn and IT professional portals
Maintain employer branding platforms administratively (content updates, formatting, consistency)
Assist in the execution of employer branding initiatives, supporting preparation and follow-up tasks
Assist with the coordination of employee experience initiatives such as Zoola Birthday Day, welcome packs, global swag distribution, vendor communication, birthday posts, and Team meatings logistics
Support preparation, logistics, and follow-up activities for People initiatives as assigned
Support WAW office operational needs
Assist with logistical coordination for hybrid events and managers' off-sites (venue booking support, meeting room setup, workspace arrangement, catering coordination)
Maintain trackers and support reporting updates in HRMS and Excel
Assist with data consolidation and ensure information accuracy
Support operational communication and participation tracking for Zoola Sport initiatives
1+ year of experience in an administrative, coordinator, or support role
Strong organizational skills and ability to keep tasks structured
High attention to detail and accuracy in documentation and reporting
Ability to manage several parallel tasks with supervision and clear priorities
Clear and professional communication skills
Fluent Polish and Upper-Intermediate (B2+) English
Good working knowledge of Excel (data organization, basic formulas, simple reporting)
Comfortable working with trackers, spreadsheets, and internal systems
Proactive mindset and willingness to learn
Experience supporting events, internal initiatives, or HR processes will be an advantage
